•    Ensure digital records are backed up regularly and securely
•    Store important physical records in protected, elevated, temperate controlled, and fire-resistant locations 
•    Develop and review a disaster recovery or continuity plan annually

From managing digital files to ensuring proper retention practices, records management is essential to how organizations operate every day. 

Throughout the month, we’ll be highlighting key insights, best practices, and trends shaping the future of records and information management. Whether you are new to the field or bring years of experience, RIM month is an excellent opportunity to reflect on the value of your work and the impact is has across your organization. 

Week 1 (April 6-10) – RIM Spring Cleaning 

Spring is the perfect time to refresh and reset not just in our homes, but in our records as well. A thoughtful review of your physical and digital files can improve efficiency, reduce risk, and ensure your organization is maintaining only what is necessary and compliant with retention policies. 

RIM spring cleaning does not have to be overwhelming. Even small efforts to organize, delete outdated records, and standardize file structures can make a meaningful impact over time.

•    Schedule time to review and dispose of records that have met retention requirements
•    Clean up shared drives by removing duplicates and outdated drafts
•    Standardize file naming convention for easier searching 
•    Organize folders in a way that aligns with your retention schedule
